Tendering and Procurement
To ensure that your project is delivered with maximum efficiency, Air Consulting adheres to the following steps when approaching a new project.
- Identification of need: Working closely with the client we combine our experience and expertise with the client’s outline brief to establish a working specification. As this develops it will encompass the technical requirements of the new design, including working drawings and mechanical/electrical/structural interfaces. As an independent practice, we are in an ideal position to assess the effectiveness of new technology without the encumbrance of representing a manufacturer or supplier.
- Supplier Identification: Over thirty years of experience working within the refrigeration Industry enables us to direct Clients towards the most suitable contractors and technologies. Providing an unbiased view of what is the most suitable solution.
- Supplier Communication: Once the Specification has been established, we undertake a Tender Process. We create bespoke Tender documentation designed to provide a like-for-like return from all of the Tendering contractors, detailing technical data in addition to price breakdown. We contact prospective Contractors, issue the Tender documentation and evaluate the returns.
- Negotiation: Analysis of the returned Tender documentation will enable us to calculate, not only the like-for-like capital costs of various proposals, but also the whole-life cost. Scheme selection on a whole-life cost, avoids the Client purchasing the lowest capital cost option without knowing the operating costs, as often the scheme with the lowest capital cost, has the highest operating cost. Our understanding of the technology proposed and the associated costs means that we can assist the Client negotiate the best deal.
- Project Management: Our experience as CDM co-ordinators means that we are always looking to design risk out of a project. Whether the risk is to Health and Safety or to the project in the form of delays or cost overruns. With projects ranging from modest supermarket installations, through Pharma to multi-million pound Industrial installations, our practical experience ensures that Contractors are organised and that Clients are always fully updated on costs and progress.
Documentation
Whether preparing Contract documentation, producing meeting minutes on behalf of the Client, or providing advice to Contractors on the preparation of post-installation documentation; Air Consulting Global Ltd. ensures that what is delivered is exactly what was required and not a loose interpretation. With the newly revised F-gas regulations now in place within Europe and various regulations being introduced worldwide, accurate documentation and system identification is now more critical than ever.
Cost Control
Using bespoke Cost Control methodology and software we integrate the Tender submitted costs and programme of works to create an accurate, Cost Control structure. This method ensures that Cost Control is managed from the outset to completion and permits change control to be addressed in an organised and monitored manner.
We approve payment claims from Contractors before these are submitted to the client and as such we can estimate progress on site against cash flow and capital drawdown. This ensures that the Client is always aware of where the project stands financially.
